Privacy Policy
FinishBid is an estimating app for contractors, operated by ProResin Flooring Solutions, LLC, doing business as FinishBid ("FinishBid", "we", "us"). This policy explains what information we collect when you use our website at finishbid.com and the app at app.finishbid.com (together, the "Service"), how we use it, and the choices you have.
The Service is used by two kinds of people:
- Contractors, who subscribe to FinishBid to price jobs, send quotes and manage customers and leads, along with their team members.
- Homeowners and other customers, who use a contractor's estimate page to get a ballpark price, request a quote, or refer someone to that contractor.
1. Information we collect
Information you give us
- Account information: your name, email address, phone number and password. Passwords are handled by our authentication provider and stored in hashed form; we never see them.
- Business information (contractors): business name, address, phone, email, website, license number, logo, rates and pricing settings, warranty documents and quote terms you upload or enter.
- Customer and job information (contractors): the names, contact details, property addresses and project details of your customers, and the quotes you create.
- Estimate and quote requests (homeowners): the project details you enter, such as the project ZIP code, service, size, condition and options; your name, email and phone; the visit times you'd prefer, if you pick any; and how you heard about the contractor.
- Quote approvals (homeowners and other customers): when you open a quote link a contractor sent you, we record when it was first opened. If you approve the quote, we record the name you type, that you accepted the terms, and the date and time.
- Referrals: if a contractor runs a referral program, the information you submit about yourself and the person you refer, and your agreement to the program terms.
- Early-access list: your name, business, trade, location, email and phone if you join our waiting list.
- Messages to us: anything you send when you contact us.
Information collected automatically
- Device storage: the app keeps your sign-in session and a few preferences, such as a referral code from a link you followed, in your browser's local storage. We don't use advertising cookies. To count visits to our pages we use Cloudflare Web Analytics, a privacy-first tool from our hosting provider that sets no cookies and doesn't follow you across other websites.
- Google Analytics (only if you agree): on finishbid.com a cookie banner asks whether we may use analytics cookies. Only if you click Accept does Google Analytics load and set its cookies, which tell us which pages are visited and which buttons are used, with your IP address shortened. If you click Decline, it never loads. To change your choice, clear this site's data in your browser and the banner will ask again. Google's own use of this data is described at policies.google.com/technologies/partner-sites.
- Referral link activity: when someone opens a referral link, we record the click and a one-way hash of the visitor's IP address. The hash is used only to prevent spam and abuse, and is never shown to contractors.
- Server logs: our hosting and infrastructure providers keep standard technical logs, such as IP address, browser type and time of request, for security and reliability.
Payment information
Subscription and lead-pack purchases are sold through Link, a service of Stripe, which acts as the merchant of record. Your card and billing details go directly to Stripe/Link and are never stored on our servers. Link collects and uses that information under its own privacy policy: for example, to process payments, calculate tax, send receipts, prevent fraud and handle payment support, and, if you choose, to save your payment details in a Link account. We receive limited billing information from Stripe, such as your plan, billing status, and whether a payment method is on file. You can ask Stripe/Link to delete your payment information; doing so may cancel the subscription.
Public data we use for pricing
To adjust ballpark prices for a project's ZIP code, we use public, area-level statistics, such as average income by ZIP code published by the IRS and regional price levels published by the U.S. Bureau of Economic Analysis. These are totals for whole areas and contain no information about any individual. We use the ZIP code you enter only to look up that area's figures.
2. How we use information
- To provide the Service: create accounts, calculate estimates, build and send quotes and PDFs, deliver leads and referrals to the right contractor, and support team logins.
- To send service emails: account confirmation and password reset emails, quote emails a contractor sends to their customer, alerts to contractors about new leads, signups, referrals and approved quotes, team invitations, and billing notices.
- To process subscriptions, trials and payments.
- To keep the Service secure, prevent fraud and abuse, and fix problems.
- To improve the Service and develop new features.
- To contact early-access members about availability.
- To comply with legal obligations and enforce our Terms of Service.
We don't sell personal information, and we don't share it for cross-context behavioral advertising. We don't use contractors' or homeowners' information to train artificial-intelligence models.
3. Contractors' customer data
When a contractor enters or receives information about their customers, such as quotes, leads and referrals, the contractor decides how that information is used. We process it on the contractor's behalf, to provide the Service to them. We use it for our own purposes only where needed to run the Service: account administration, billing, security, fraud and abuse prevention, and complying with the law. Contractors are responsible for giving their customers any notices the law requires for their own use of that information. If you're a homeowner or customer and have a question about how a contractor uses your information, please contact that contractor directly. We'll help where we can.
Each contractor's data is kept separate from every other contractor's data. A contractor's prices, costs and margins are never shown to homeowners; homeowners see only a price range.
Leads over a plan's limit: if a contractor's plan has a monthly lead limit and they've reached it, a homeowner's request is still stored, but the contractor can't see the homeowner's name, email or phone until they upgrade or add more leads. We tell the contractor a request is waiting without sharing those details.
Review requests: after a job, a contractor may ask you for a review. FinishBid drafts that message, but the contractor sends it from their own phone or email.
4. How information is shared
We share information only as described here:
- With the contractor you're dealing with: when a homeowner creates an account on a contractor's estimate page, that contractor and their team members can see the homeowner's name, email and phone, and whether they've requested a quote. When a homeowner requests a quote (including any preferred visit times) or submits a referral on a contractor's page, that contractor and their team members receive it, subject to the lead limits above. When a customer opens or approves a quote link, the contractor sees when it was opened and the approval details.
- Within a contractor's team: team members can see the business's customers, quotes and leads.
- With service providers who run the Service for us, under contracts that limit their use of the information:
| Provider | What they do |
|---|---|
| Supabase | Database, file storage and user sign-in |
| Stripe (including Link) | Subscription billing and payments; Link is the merchant of record and uses payment data under its own privacy policy |
| Resend | Sending emails, such as quotes, alerts and invitations |
| Cloudflare | Website and app hosting |
| Google Fonts | Fonts on the finishbid.com website (your browser requests them from Google) |
| Google (Gmail) | Sending quote emails, only for contractors who choose to send from their own Gmail account |
- For legal reasons: if required by law, or to protect the rights, safety and security of our users, the public or FinishBid.
- In a business transfer: if FinishBid is involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction.
5. How long we keep information
We keep account and business information for as long as the account is active. If a contractor closes their account, we delete or de-identify their business data within 90 days, except where we must keep records for legal, tax, accounting or security reasons. Billing records are kept as required by law. Contractors can delete individual customers, quotes and leads at any time. Deleted information may stay in backup copies until those backups expire in their normal cycle. Referral-click records, including the hashed IP address, are kept [confirm period, e.g. 12 months] to prevent abuse.
6. Your choices and rights
- Access and update: contractors can view and edit their business, customer and quote information in the app.
- Delete: you can ask us to delete your account and personal information by emailing [email protected]. Homeowners can also ask the contractor they dealt with to delete their information.
- Emails: account and transactional emails are part of the Service. You can opt out of any marketing emails we send using the link in the email.
- State privacy rights: depending on where you live, you may have the right to know what personal information we hold about you, and to correct or delete it. To make a request, email us; we'll verify your identity before acting on it, respond within the time the law requires (and in any case within 45 days), explain any part of a request we can't fulfill and why, and we won't discriminate against you for exercising your rights. If your information came to us through a contractor, we may pass your request to that contractor or ask you to contact them.
7. Security
We use reasonable safeguards to protect information:
- encrypted connections (HTTPS);
- database rules that keep each business's data separate;
- hashed passwords;
- access limited to people who need it.
No method of transmission or storage is completely secure, so we can't guarantee absolute security. If a security breach affects your personal information, we'll notify you and the authorities as the law requires, including Pennsylvania's Breach of Personal Information Notification Act.
8. Children
The Service is meant for adults and businesses. It isn't directed to children under 13, and we don't knowingly collect their personal information. If you believe a child has given us information, contact us and we'll delete it.
9. Where information is stored
We're based in the United States, and information is stored and processed in the United States by us and our service providers.
10. Changes to this policy
We may update this policy from time to time. If we make significant changes, we'll notify account holders by email or in the app before they take effect. The effective date at the top shows when it was last updated.
